LITURGY TEAM REPORT

Meeting of August 13, 2007

Attendees: Sandy Byrnes, Fr. Patrick Carrion, Bill Crosthwait, Dave Ebner, Chris Lunsford, Deacon Larry Matheny, Cathy Scoppa, Joyce Seng, Domenic Turchi

Notes/Minutes:

• Bill opened the meeting with a prayer. Fr. Patrick is to lead us in the opening prayer for the September Liturgy Team meeting, which is scheduled for Monday, September 10, at 7:30PM, in the Ijamsville Conference Room.

• Bill welcomed Cathy Scoppa who was attending the meeting representing CLOW.

• The July Liturgy Team meeting report was distributed for review prior to the meeting and copies were available at the meeting. The July meeting report stands as documented.

• Liturgical Ordo for August and September – The calendar for August and September was distributed prior to the meeting and copies were available at the meeting. The calendar was reviewed with the following comments:
• On September 10^th the Liturgy Team Meeting conflicts with the K of C meeting for use of the Social Hall. Sandy will move the Liturgy Team Meeting to the Ijamsville Conference Room
• On Wednesday, August 15^th, there is a meeting in the Growing Room at the same time that Mass is going on in the Church. Sandy will follow up to determine if the meeting can be moved from the Growing Room.
• CLOW should be removed on August 18^th, 19^th, 25^th, 26^th, September 1^st, and 2^nd for all Masses. Sandy will handle
• On September 4^th there is a “Parent’s Meeting and STAND”. There should be clarification as to what organization this meeting is scheduled for. Sandy will follow-up.
• Sandy will update the Masses for CLOW for September 8^th and 9^th and future weekends based on the decisions made later in the meeting on the number of CLOW Masses that can be supported by the CLOW ministers.
• Dom indicated that Training of New EM’s should be added to the calendar on Tuesday, September 4^th, at 7:00PM in the Church. Sandy will get that added.
• On the weekend prior to September 11^th, the weekend of September 8^th/9^th, it was felt that a petition for all those who were victims of violence, hatred, and terrorism would be appropriate. Bill will work with Lori to see if that can be arranged.
• On the weekend prior to Labor Day a petition for all those who labor in our society would be appropriate. Bill will work with Lori to see if that can be arranged.
• Sandy pointed out that there are several music related activities on the calendar in August and September. If those change, Sandy will update the calendar.

• Old Business:

• Replacement Sacristan – Bill will pursue determining who the replacement Sacristans are, that were referenced in our July meeting. We need to define roles and responsibilities for the Sacristan as we identify a new Sacristan(s). Bill will pursue. It is felt that this is a position(s) that must be quickly filled.
• EM training, recommitment effort and training of “Head EM’s – Dom had a table at the August “Community Sunday” and over 50 liturgical ministers provided recommitment information. Dom will do the recommitment effort again in September on “Community Sunday”. For September Dom will arrange for a bulletin announcement requesting all Liturgical Ministers to recommit. EM training happened in August and is scheduled for September.
• Liturgical Ministers praying before Mass and “Processing In” – After discussion it was decided that we will eliminate having the Liturgical Ministers meet for prayer in the music area prior to Mass. After significant additional discussion it was decided that, as of the first weekend in October, October 6^th and 7^th, the procession into the Church will be:

• IF a Deacon is at Mass:
• Cross Bearer
• Altar Servers
• Deacon with Book of Gospels
• Presider
• IF a Deacon is not at Mass:
• Cross Bearer
• Altar Servers
• Lector 1 with Book of Gospels
• Presider

This will be communicated to all Liturgical Ministers with information on how we will determine if we have the full compliment of Liturgical Ministers, either with the next schedule or with a separate mailing prior to the first weekend of October.

o Number of Masses we can support CLOW at starting in September – It was decided that we will be able to support one Mass per weekend, the 10:00AM Mass on Sunday, with two STAND trained ministers starting September 9th. Cathy will take some additional ideas for recruiting CLOW ministers and enlisting parents to Claudia for her follow-up. The objective will be to go from having CLOW at one Mass per weekend to having it at two Masses per weekend and finally having sufficient CLOW ministers to support having CLOW at three Masses per weekend.

• New Business:
• Advent / Christmas Celebration Team (responsibilities, assignments, and plan for future meetings)

· Larry suggested that, at the September Liturgy Team meeting, we can clarify our “theme” for Advent and be sure that theme is coordinated with the Liturgical Environment Committee.

· Larry will pursue purchase of materials to be inserted into the bulletin each weekend of Advent.

· Scripts (The Call to Worship, The Kyrie, The Opening Prayer, and General Intercessions) will be developed at the September Liturgy Team meeting.

· At the November Liturgy Team meeting we can plan for recruiting families to light the Advent wreath and bring up the gifts for each weekend Mass. We should incorporate this recruiting with the sacramental programs (First Reconciliation, First Eucharist, and Confirmation).

· Bill will pursue preparation of an “Advent Newsletter” to be mailed to each parishioner.

· The Advent / Christmas Celebration Team is responsible for:

o First Sunday of Advent 12/1 and 12/2

o Second Sunday of Advent 12/8 and 12/9

o Third Sunday of Advent 12/15 and 12/16

o Fourth Sunday of Advent 12/22 and 12/23

o Christmas Eve 12/24

o Christmas Day 12/25

o Feast of the Holy Family 12/19 and 12/30

o Epiphany 1/5 and 1/6

o Evaluation of Feast of St. Ignatius – It was felt that we got reasonable participation for a Feast Day that occurs at the end of July on a weekday. We will plan to do something similar next year.

o Ministers for the Feast of the Assumption – The following will recruit ministers:

· Greeters, Crossbearer, and Lectors – Dave for the evening Mass

· EM’s – Joyce for both the morning and evening Mass

· Music – Sandy will handle

· Altar Servers – Bill will recruit for both the morning and evening Mass

· Ushers – Larry will recruit

o Anniversary of the Dedication of our Ijamsville Church – Bill will get a bulletin announcement for the weekend of September 15^th.

o Stewardship Weekend on 9/15 and 9/16 – Bill will determine what is being done for “treasury” on that weekend and incorporate “in-pew-sign-up” cards for “time and talent” if appropriate.

o Liturgical Environment Team – Need to have a description of responsibilities and duties of the chair and those on that team. Fr. Patrick will pursue.

o Readings on the Parish web site – “Daily Mass Readings Read Aloud” is now on our web site. This may be particularly useful for Lectors.

• Ministry Reports:
• Lectors – Dave reported that he has one potential new Lector
• Sandy reported that future schedules will identify Holy Days so we are able to recruit Liturgical Ministers for Services on these days ahead of time.

• Bill led the team in a closing prayer. Domenic is to prepare the closing prayer for the September Liturgy Team meeting, which is scheduled for Monday, September 10^th, at 7:30PM, in the Ijamsville Conference Room.
