LITURGY
TEAM REPORT
Meeting
of September 10, 2007

Notes/Minutes:
- Bill opened the meeting with a prayer. Fr. Patrick is to lead us in the opening
prayer for the October Liturgy Team meeting, which is scheduled for Monday,
October 8th, at 7:30PM, in the Ijamsville, Thomas T. Polk
Social Hall.
- Bill pointed out that the attendance sheet for
the Liturgy Team meeting has been revised to identify what ministry each
coordinator represents and show those ministries which are part of the
Liturgy Team but currently have no ministry coordinator who attends
Liturgy Team meetings. Those
ministries are Greeters, LWC, Liturgical Environment, and Sacristan. In addition, the Deaf Ministry and
Prayer Chain do not send representatives to the Liturgy Team
meetings. It was felt that music
must be represented at the Liturgy Team meetings. Bill will pursue.
- The August Liturgy Team meeting report was
distributed for review prior to the meeting and copies were available at
the meeting. The August meeting
report stands as documented.
- Liturgical Ordo for September and October – The
calendar for September and October was distributed prior to the meeting
and copies were available at the meeting.
The calendar was reviewed with the following comments:
- Joyce noted that the front cover of the
bulletin last weekend did not have the proper times for our weekend
Masses. Bill will get with Lori
to resolve.
- The Liturgy Team members would like to be able
to access the parish calendar even though it has been removed from the
parish web site. Bill will send
out the URL for accessing the calendar to those on the Liturgy Team.
- On October 1st there will be
training for new EMs. Dom will
get that put on the calendar for 7:00pm on October 1st.
- There are two LWC Masses listed on the calendar
for October 20th at 5:30pm.
Bill will arrange to get one removed.
- There is no 5:00pm Mass on the calendar for the
second Sunday of October (the 14th). Bill will check to see if that Mass is to continue and, if
so, get it on the calendar.
- On October 1st and October 29th
the “Holy Dustbusters” should be from 9:00am to 11:00am. Bill will pursue the calendar
change.
- Replacement Sacristan(s) – Bill indicated that he
has had discussions with Fr. Patrick about the duties of the Sacristan(s). There are a couple of approaches that
are being considered for how to fill the position of Sacristan(s). The duties of the Sacristan(s) were
reviewed. It was suggested that
some of the defined duties were more Church maintenance as opposed to
duties of a Sacristan. Joyce
suggested that someone must check the Altar linens on each Thursday to be
sure that there is a sufficient supply for the weekend. Additionally, Joyce suggested that the
Holy Water in the font in the narthex should be changed on a regular
basis.
- As part of the discussion on the duties of the
Sacristan, Joyce pointed out that, on at least one occasion recently, the
windows in the growing room were left open after the weekend Masses and
the backs of several chairs were wet, as well as the wall under the
window, due to rain. Joyce also
noted that the space heaters in the bathrooms have been left on, in the
high heat position, after weekend Masses. Bill will pursue identifying who is responsible for locking
the Church after weekend Masses and be sure that checking the growing
room windows and bathroom space heaters is addressed.

Liturgical
Ministers “Processing In” – Bill reviewed a communication that will go out to
all Liturgical Ministers explaining the change to our current process. Dom suggested that the reference to “lead”
EMC be changed to “head” EM. Dom also
pointed out that our current schedule does not have the “head” EM identified. Dom will see to it that the email which goes
out to all EMs each week will identify the “head” EM for each Mass starting in
October. The team also reviewed a
bulletin announcement that will preview the change to our parishioners.

Advent
/ Christmas Celebration Team

Bulletin
insert materials to by purchased – Discussion deferred until October meeting of
the Liturgy Team.

Scripts
– Bill will contact Larry to get information on what is required, so that we
can be sure to complete scripts at the October Liturgy Team meeting. Bill will attempt to get information out to
all Liturgy Team members by email as soon as it is available.

Advent
newsletter – Bill has located a softcopy of a previous Advent newsletter which
will be used as the base for an Advent newsletter this year.

Stewardship
weekend – This has been moved to the weekend of October 13th/14th. Bill will pursue doing an “in-pew”
recruitment for Liturgical Ministers on that weekend. Dom suggested that we could use the “in-pew” cards for both
recommitment and new minister recruitment.
Dom will send the recommitment form to Bill.

Liturgical
Environment Team – Bill indicated that we would probably handle recruitment of
the Liturgical Environment Team in a manner similar to what we are doing for
recruitment of the Sacristan(s). Bill
will pursue with Fr. Patrick.
- New Business:
- Joyce noted that there was a very nice item in
the bulletin this past weekend referencing how our parish has grown. The item was related to the
Anniversary of the Ijamsville Church Dedication. Joyce would like to see “A.M.D.G.” referring
to the Latin Ad Majorem Dei Gloriam, meaning For the Greater Glory of
God, used more often and be more visible in bulletin items such as
this. We will discuss this
symbolism at a future meeting.
- Consequences of ministers selecting Mass
schedule preferences – Dave noted that Lectors are scheduled six and
seven times in the thirteen week period of the most recent schedule. Many Lectors were told that they would
be scheduled once a month when they were recruited. The concern is that we may “burn out”
our volunteer ministers. We
discussed how the scheduling takes place and the impact of “family links”
and “Mass preferences”. We will
review this at the October Liturgy Team meeting. Dave requested that the list of
ministers, with their email address and phone number, be distributed with
future schedules that are emailed out.
Bill will pursue.
- Dave requested that the card that is used for
“in-pew” recruitment / recommitment indicate if the person is an adult or
a minor. This will help when
ministry coordinators need to contact a new minister. Bill will pursue.
- Dom led the team in a closing prayer. Larry is to prepare the closing prayer
for the October Liturgy Team meeting, which is scheduled for Monday, October
8th, at 7:30PM, in the Ijamsville, Thomas T. Polk Social
Hall.
