LITURGY TEAM REPORT

Meeting of October 8, 2007

 

Attendees:       Fr. Patrick Carrion, Bill Crosthwait, Dave Ebner, Joyce Seng, Domenic Turchi 

 

Notes/Minutes:

 

  • Fr. Patrick opened the meeting with a prayer.  Jacqueline Scaletti is to lead us in the opening prayer for the November Liturgy Team meeting, which is scheduled for Monday, November 12th, at 7:30PM, in the Ijamsville, Thomas T. Polk Social Hall. 

 

  • The September Liturgy Team meeting report was distributed for review prior to the meeting and copies were available at the meeting.  The September meeting report stands as documented. 

 

  • Liturgical Ordo for October and November – The calendar for October and November was distributed prior to the meeting and copies were available at the meeting.  The calendar was reviewed with the following comments:
    • There is a 5:00PM Youth Mass scheduled for October 14th.  There was a sign up sheet available this past weekend for Liturgical Ministers to volunteer for this Mass.  Bill will check to see what additional Liturgical Ministers are required and notify the ministry coordinators for those ministries to recruit additional ministers.
    • The calendar shows no 5:30PM Mass on Saturday, October 20th.  Bill will get that added. 
    • On the weekend of October 20th and 21st Fr. Patrick will be addressing stewardship.  It was suggested that the focus, on that weekend, should be on “Treasure” and not “Time and Talent”.  A later weekend in October or November will be used for an “in-pew” recruitment for “Time and Talent”.  Bill will arrange for the “in-pew” recruitment of Liturgical Ministers. 
    • Fr. Patrick indicated that the Children’s Choir will sing at the 5:30PM Mass on the 20th of October.  Bill will get that added to the calendar
    • There is a “LWC Mass” scheduled for 5:30PM on October 27th.  The 5:30PM Mass on the 27th will be a regular Mass, not a LWC.  Bill will get that changed on the calendar. 
    • On the weekend of October 27th and 28th, Bill will arrange for a bulletin announcement and an announcement at Masses that weekend, reminding our parishioners that the following Thursday, November 1st, is a Holy Day of Obligation.
    • On Thursday, November 1st, All Saints Day, we will have three Masses, all in the Ijamsville Church, at 8:45AM, 5:00PM, and 7:30PM, as indicated on the calendar.
    • We would like to get the “Book of the Dead” out on the weekend of October 27th/28th and have it out for the entire month of November.  Bill will contact Gloria and Sally Huber to get information on the “Book of the Dead” and make arrangements to get it into the Church. 
    • Fr. Patrick suggested that we do an evening Mass on Friday, November 2nd, All Souls Day.  It was agreed that we will have a Mass at 7:30PM that day.  Bill will arrange for a bulletin announcement and an announcement of the All Souls Day Mass, at all Masses on the weekend of October 27th/28th.  Dave asked about environmental items required for All Souls Day.  We discussed options utilizing the Pascal candle and processional candles.  Bill will work with Fr. Patrick to determine what is feasible.  Fr. Patrick suggested that, at that Mass on the 2nd, we read the names of all those that the parish buried during the past year.  Bill will check with Gloria for those names.  It was also suggested that we read the names, submitted by parishioners who are going to attend the Mass, of “beloved deceased” who passed away in the past year.  Fr. Patrick indicated that names could be submitted by those who are going to attend the Mass, by phone or email to Sandy.  Bill will work with Lori to get something into the bulletin requesting those names.

 

o       On November 17th there is a LWC on the Calendar at 5:30PM.  That should be a regular weekend Mass.  Bill will arrange to get that corrected. 

o       On the 22nd of November, Thanksgiving Day, the 10:00AM Mass will be in the Church, not the Country Church.  Bill will arrange to get that corrected.

o       On the weekend of November 24th/25th the feast of Christ the King is to be celebrated.  No one could recall anything special done for this feast day other than selected music and possibly something with the liturgical environment.  Dave will see what was done for the environment and we will revisit this subject at our November Liturgy Team meeting. 

 

  • Old Business:

o       Liturgical Ministers “Processing In” – There were no reported problems with the change that was implemented this past weekend.  

o       Advent / Christmas Celebration Team

·        Bulletin insert materials to by purchased – Discussion deferred until November meeting of the Liturgy Team. 

·        Scripts – Larry had sent email to Bill indicating that the team needed to concentrate on the call to worship and the intercessions for each Sunday of Advent.  Bill will contact Larry to get information on how best this can be done, by email, prior to the November Liturgy Team meeting.  Bill will attempt to get information out to all Liturgy Team members, by email, as soon as it is available.  Dave suggested that defining the “theme” or “tag” for Advent was important in getting the scripts prepared.     

·        Advent newsletter – Bill has located a softcopy of a previous Advent newsletter which will be used as the base for an Advent newsletter this year.  The Advent newsletter should go out to parishioners early in the week of November 26th thru November 30th.

·        We had a discussion of the scheduling of Christmas Masses.  We did not have the Mass schedule from last year so we agreed to quickly define the Christmas Mass schedule via email.  Bill will send out the schedule from last year to all on the Liturgy Team and request a quick response (within a day or two) to define the Mass schedule for this year.  This is necessary to quickly arrange for celebrants for all of the Christmas Masses. 

·        We also discussed what the Liturgical Environment team responsibilities were for Advent/Christmas.  Dave indicated that he may have notes from past Liturgical Environment team meetings that would help with identifying what is required for this year.  Ordering of flowers, rental of chairs … were also discussed.  The conclusion was that we may need a meeting, at the end of October, to review the preparations required.  Bill will arrange for that meeting.        

o       Stewardship weekend – Bill will pursue doing an “in-pew” recruitment for Liturgical Ministers on a weekend at the end of October or early November.   

o       Vacant Positions on the Liturgy Team – Bill indicated that the duties/responsibilities of the Sacristan have been defined and will be posted on our web site with a bulletin request that parishioners volunteer for the position as defined.  Bill will contact Teresa Killar to try to get definition of what is required of Liturgical Environment team members and the chair of that team so we can begin recruiting for that team.       

o       Scheduling of Liturgical Ministers – We discussed at length the scheduling of Liturgical Ministers and how Mass preferences and family links impact that scheduling.  It was suggested that, in early November, when requesting when Liturgical Ministers are available for the next schedule, we include the Christmas Mass schedule and ask for preferences for those Masses.  Bill will follow-up with Sandy.        

 

  • New Business:
    • Joyce discussed the globes that are missing for the candle fixtures in the four corners of the Church. 
    • Fr. Patrick requested information on where the procedures for Liturgical Ministers are documented.  Updated procedures for all Liturgical Ministries are supposed to be on the Liturgy portion of our Parish web site and a copy is to be available in the Ijamsville Church.  Ministry coordinators should follow-up to be sure that is the case.    
    • Bill indicated that he would be unavailable to attend the Parish Council meeting next Tuesday, October 16th, and requested someone to attend in his stead.  Dave Ebner asked Bill to notify him if no one volunteered. 
    • Dave brought up the subject of appropriate dress for weekend Mass.  We briefly discussed the subject and noted that this is addressed in our etiquette brochure.     

 

  • Ministry Reports:
    • Bill is to schedule training sessions for new Altar Servers and recruit new Altar Servers through the Faith Formation classes.    

 

  • Bill led the team in a closing prayer.  Claudia Lapcevich is to prepare the closing prayer for the October Liturgy Team meeting, which is scheduled for Monday, November 12th, at 7:30PM, in the Ijamsville, Thomas T. Polk Social Hall.
